Day-to-day Money: Income & Expenses
How to record money coming in and going out, manage pending bills, and keep your cash flow accurate.
# Recording Income & Expenses
The core of any business is tracking what you earn and what you spend. KasbPro makes this strictly auditor-compliant but as easy as sending a text message.
1. Recording Income (Sales)
When you make a sale or receive money:
- Go to Income and click New Income.
- Amount: How much did you earn?
- Account: Where did the money go? (e.g., Cash Drawer or Bank).
- Category: E.g., Product Sales or Service Revenue.
- Customer (Optional): Who paid you?
Unpaid Sales (Receivables)
If a customer promises to pay you next week, check the "Unpaid" box. The system will record the sale in your profit reports, but it will not add the money to your cash balance yet. It goes into "Receivables" until you mark it as paid.
2. Recording Expenses (Bills)
When you buy supplies, pay rent, or cover travel costs:
- Go to Expenses and click New Expense.
- Amount: How much did it cost?
- Account: Which wallet/bank did you pay from?
- Category: E.g., Rent, Travel, Office Supplies.
Unpaid Bills (Payables)
If you received goods from a supplier but haven't paid them yet, check "Unpaid". This keeps your cash balance intact but reminds you that you owe money.
3. File Attachments & AI Scanner (Pro)
If you are on the Pro plan, you can upload a photo of your receipt. Click "Scan with AI" and KasbPro will automatically read the amount, date, and vendor from the receipt and fill out the form for you!
