Selling, Buying & Stock: Inventory and Invoices
Learn how to track physical products, generate PDF sales invoices, and automatically deduct stock.
# Inventory and Invoicing
If you sell physical goods, you need KasbPro's advanced Inventory and Invoicing modules.
1. Setting Up Inventory Items
- Go to Items & Inventory.
- Click New Item.
- Set the Cost Price (what you pay) and Sale Price (what you charge).
- Enter your current Stock on Hand.
Pro Tip: Enable the AI Forecast feature to have KasbPro automatically warn you when you are running low on stock based on your historical sales speed.
2. Creating a Sales Invoice
When a customer buys products, you should create a Sales Invoice instead of a simple Income entry.
- Go to Sales Invoices and click New Invoice.
- Select the Customer.
- Add line items by selecting the products you set up in Inventory. The system will automatically pull the correct price.
- Approve the invoice.
What happens when you approve an invoice?
- A beautiful, branded PDF Invoice is generated for you to send to the customer.
- The total amount is automatically posted to your accounting ledger (Income).
- The exact quantity sold is automatically deducted from your Inventory.
3. Creating a Purchase Bill
When you buy new stock from a supplier:
- Go to Purchase Bills and create a new bill.
- Select the items you are buying.
- Once approved, the system adds the quantity back to your Inventory and records the Expense in your accounting ledger.
