Beyond the Store: Other Reasons WordPress Founders Pick a Free ERP

#wordpress#startup

Past CRM, payroll and inventory, a handful of quieter features end up mattering most — letting ChatGPT or Claude query your live books, unlimited logins with real role limits, and one place instead of five subscriptions.

Beyond the Store: Other Reasons WordPress Founders Pick a Free ERP

The obvious reasons to connect a WordPress business to a real ERP are the ones covered elsewhere in this series — CRM, payroll, inventory. A few more features matter less loudly but end up genuinely useful once you are actually using the system day to day.

Letting an AI assistant query your real numbers

KasbPro exposes a small, read-only API — the Model Context Protocol, or MCP — that lets ChatGPT, Claude or Gemini connect directly to your live books, if you have set up the connection with an API key. It is deliberately narrow: four tools, covering a financial summary (approved income, expenses, net profit), a list of recent transactions, outstanding receivables and payables, and low-stock inventory alerts. Nothing more.

Be precise about what that means: the assistant can read these four things. It cannot record a transaction, edit an invoice, or change anything in your books — there is no write capability in the connection at all. What this is actually good for is a fast, natural-language check — "what's my current net profit" or "who owes me money right now" — from whatever AI tool you already use, without opening the app. It is not a replacement for the dashboard, and it will not do bookkeeping for you.

This is free on every plan, including Free — a deliberate choice, since it is one of the only free features that runs on always-on infrastructure with a real ongoing cost. The reasoning is simply that it makes the product more useful without changing what a founder pays.

Unlimited team members, with roles that are actually enforced

Adding a warehouse manager, a bookkeeper, and a sales rep does not cost anything extra, and there is no seat cap. What matters more than the price is that role-based access is enforced both in the interface and at the database level — a staff account scoped to one branch genuinely cannot query another branch's data by manipulating a request, because the restriction is not just a hidden button in the UI.

One system instead of several subscriptions

This is the least exciting benefit and often the most financially real one: if you are separately paying for a basic accounting tool, an HR tool with per-employee pricing, and a spreadsheet-based CRM, those three specific recurring costs are what a connected free ERP typically replaces. It is not a universal replacement for every WooCommerce plugin category — inventory plugins with multi-location support or dedicated wholesale storefronts still solve problems this does not — but for the accounting-and-operations layer specifically, consolidating removes real monthly cost, not just app-switching friction.

Data that survives your website

If your WordPress site is hacked, crashes, or you migrate platforms later, financial data that lives only in the WordPress database goes with it. Running your books as a separate application means your financial history is independent of your site's uptime — this matters more the longer you have been trading, because it is history you cannot recreate from memory.

What none of this replaces

None of these features replace an accountant for tax filing and compliance, none of them replace judgement about pricing or hiring decisions, and the MCP connection specifically does not replace actually looking at your reports — it is a faster way to ask a simple question, not a substitute for understanding your numbers.

On paying for Pro

Everything described here — MCP access, unlimited team members with enforced roles, and the underlying ledger — is on the free plan. Nothing in this list is a reason to upgrade on its own. Pro is worth it when you specifically need AI features that write or scan (not just the read-only MCP connection), document storage, segment reporting, or an accountant-facing draft pack — each covered honestly in the closing post of this series.
