Running Payroll for Your WordPress Team Without Separate HR Software
If you run a WordPress site with a small team — a store, an agency, a membership business — payroll usually means a separate, per-employee HR tool. Here is what actually needs automating, and what still needs a human.

Hire your first person to help run a WordPress store or agency, and payroll stops being simple arithmetic. You need to know who worked, who took leave, what to deduct, and what to pay — every month, correctly, on time. The default fix is a dedicated HR tool, usually billed per employee, running completely separately from your accounting.
This is about what payroll actually requires, what genuinely automates, and what still needs a person to look at it.
The disconnect that causes most payroll errors
The common failure is not miscalculating a salary — it is the salary expense never making it into the books at all, because payroll runs in one tool and accounting in another, and someone has to remember to record the transfer manually. Miss that step once a quarter and your Profit & Loss understates costs without anyone noticing until year end.
What actually happens in a payroll run
In KasbPro, running payroll is not "enter numbers and generate a PDF." It pulls in the real data already in the system:
- Each employee's base salary comes from their profile.
- Deductions for unpaid leave or recorded absences are calculated automatically, from the attendance and leave records already logged that month — not re-entered by hand.
- Net pay is computed from base salary minus those deductions.
- On approval, KasbPro creates the salary expense in your accounting ledger automatically, and generates a PDF payslip employees can download from their own limited-access login.
That fourth step is the one that matters most for accuracy: the salary expense and the payroll run are the same action, not two things you hope stay in sync.
Attendance and leave, honestly
Staff mark their own attendance and submit leave requests from their phone; managers approve or decline. Approved leave updates the attendance sheet automatically, which is what feeds the payroll deduction calculation above.
Be clear about what this is not: there is no biometric clock-in, no geofencing, no hardware integration. Attendance is self-reported inside the app. If your business needs proof of physical presence — a warehouse, a retail floor with shift verification — this is not that system, and you likely need a dedicated time-clock tool alongside it.
Where WordPress fits in
If your team logs into WordPress itself — an agency with contributor accounts, a store with staff managing products — assigning a specific WordPress role pushes that person's name and email to KasbPro as a pending staff profile. The owner still approves it inside KasbPro before it becomes a real login; nothing is created automatically on the KasbPro side just because someone has a WordPress account. This works with or without WooCommerce installed — it depends only on the KasbPro Sync plugin being connected.
Do not overstate what this does: it saves you re-typing a name and email. It does not pull salary, hours, or role data from WordPress — those are set inside KasbPro, because WordPress genuinely has no concept of any of them.
What still requires a person
- Tax and statutory deduction rules for your jurisdiction are not built in. Deductions are itemized by you; getting the categories and rates right for local compliance is still your responsibility, the same as with any general-purpose payroll tool not localized to your specific country.
- Judgement calls — a mid-month salary change, a bonus, a one-off deduction — are entries you make, not something the system infers.
- Recruiting, reviews, and benefits administration are out of scope entirely. This is attendance, leave, and running pay correctly against your books — not a full HR suite.
The honest bottom line
If your payroll need is "calculate net pay correctly from attendance and leave, and post it to the books without a second manual step," this covers it, with no per-employee fee, on the free plan. If you need statutory tax-table automation for a specific country or full HR administration, budget for a specialized tool for that specific gap — this will not pretend to be it.
On paying for Pro
Attendance, leave, payroll runs and payslips are entirely free, with no cap on team size. There is nothing payroll-specific behind Pro — if HR and payroll are the only reason you are evaluating KasbPro, the free plan is the whole answer, and there is no upgrade to plan for later.
