For a lot of new founders and retail businesses, WhatsApp is the operating system. A customer messages an order. You forward it to a supplier. Staff text you to say they arrived. A handwritten receipt gets photographed and sent to whoever does the books.

It is fast, free, and works fine — until it does not. This is about exactly where that line sits, and what actually needs to change when you cross it.

Where it works fine

At low volume, chat-based operations are genuinely efficient. If you handle a handful of orders a day and know your customers personally, a structured system can be slower than just texting — more clicks for the same information you already have in your head. Do not switch away from something that is working for you at that size.

Where it stops working

The failure point is not a specific revenue number — it is when any of these three become true:

You cannot answer "how much did I make last month" without scrolling. Chat history is not a database. There is no sum, no filter, no report — only a timeline you have to read.
