Turning a WooCommerce Signup into a Tracked B2B Deal
A wholesale buyer wants a custom quote, not a checkout flow. Here is how a WooCommerce customer becomes a tracked CRM deal in KasbPro, and where the process still needs a human.

Most WooCommerce transactions are simple: browse, add to cart, pay, done. But if you sell high-ticket items or do any wholesale, a chunk of your customers do not want checkout — they want to negotiate, ask for a bulk rate, and talk to a person first. WooCommerce is built for the first flow, not the second.
Where WooCommerce genuinely runs out of road
WooCommerce processes a transaction well. It has no concept of an ongoing conversation, a custom quote, or a deal that takes three weeks and five emails to close. When a wholesale buyer emails asking for a bulk discount, the honest default answer for most stores is: it goes into an inbox, and it is tracked however well you personally remember inboxes. That is a real gap, not a hypothetical one — it is where deals get lost.
What actually connects, and what still needs you
When the KasbPro Sync plugin is installed, customers who register on your WooCommerce site are synced to your KasbPro Contacts. That part is automatic and requires nothing from you.
Everything past that point is a decision a person makes, and it should be — software cannot tell which new registration is a serious wholesale lead versus someone who wanted a discount code:
- You notice a lead worth pursuing — a corporate email domain, a bulk inquiry, whatever your judgement flags.
- You create a Deal in the KasbPro CRM, linked to that contact, and place it on your Kanban pipeline — a column for Negotiating, Quoted, whatever stages fit your process.
- You generate a PDF Quotation from the Deal, pulling line items from your real inventory and pricing.
- When they agree, you convert the Deal to an Invoice — one action that creates the Sales Invoice, deducts the sold quantity from KasbPro's inventory, and records the revenue in your ledger.
The part worth being precise about
That inventory deduction happens inside KasbPro. It does not push back out to update the stock number shown on your live WooCommerce store — the sync between the plugin and KasbPro runs one direction, WooCommerce into KasbPro, not the reverse, today. If a large wholesale order needs to be reflected in your storefront's available stock immediately, so regular retail customers do not oversell against it, you still need to update WooCommerce yourself for now. Do not assume this is handled automatically.
What this is actually good for
If your B2B volume is a handful of deals a month, an inbox with good memory might genuinely be enough — do not add process you do not need. Where this earns its keep is once you have enough concurrent wholesale conversations that "which stage is this deal at" stops being something you can hold in your head, and a lead going quiet for three weeks needs to be visible rather than forgotten.
